In myBidPal Planner, go to Packages > Manage Items.
NOTE: For instructions on importing items, see Import Items.
Click the Add button to create a new item or click on a item in the Item List to edit an existing item.
On the Item Edit page, populate or edit the following fields.
|Number||Unique numeric identifier for the item|
|Name||Name or brief title of the item|
|Description||Detailed information about the item, including any notes or restrictions|
|Category||The category of an item will be automatically inherited when it is packaged. Select from drop-down list or click New to enter a new category.|
|Value||Approximate fair-market cost of the item. If assigned to a package, changing this number will also change the value of the package.|
|Priceless||Check the box if the item's fair-market value is hard to approximate or if you'd prefer not to display it on mobile bidding devices or tent cards|
|Consignment||Check the box if the item is owned by a consignor who must be paid if the item sells|
|Consignment Price||The amount paid to the consignor if the item sells|
|Gift Certificate||Choose Gift Certificate status from the drop-down menu: Not Applicable, Donor Provided, or Organization to Create|
|Gift Certificate Redemption||If you select "Organization to Create" for Gift Certificate, you can enter redemption instructions here. The text entered here will show on the Gift Certificates report, which is found in Reports > View Reports > Items & Packages section.|
|Notes||Enter any additional information you want to track; for internal use only|
|Solicitor||The person who obtained the item. Click Assign Solicitor to search for an existing supporter to mark as the solicitor or add a new supporter record to assign as the solicitor. Click Unassign to remove the solicitor. Once a solicitor has been added, you can view their supporter record by clicking on the solicitor name.|
|Procurement Status||Track your item collection progress by choosing a procurement status from the drop-down menu: Requested, Committed, Declined, Awaiting Pickup, In-Transit, or Received.|
|Date Received||The day the item was donated|
|Storage Location||Enter the current location of the item. Select from drop-down list or click New to enter a new location.|
|Donor(s)||The person who donated the item. Click Assign Donor to search for an existing supporter to mark as the donor or add a new supporter record to assign as the donor. Click unassign to remove the donor. Once a donor has been added, you can view their supporter record by clicking on the donor name.|
|Package||If the item has been bundled or converted to a package, the package # and name displays here. Click Assign Package to search for a package to group it with or to create a new package that contains the item. Click Unassign to remove the item from its current package. See How to Package Items for more information.|
When finished, click Save to return to the Item List, Clone Item to create an identical item, Save & New to enter a new item, Save & Next to see the next item already in the system, or Cancel to discard changes.
GIVING CENTER ITEM REQUESTS
Fundraising Suite customers can allow their donors to input items that they wish to donate via the Giving Center. To enable this feature, navigate to Setup > Giving Center > Enabled Featurestab, and check the box next to Online Item Donations.
When this setting is enabled, visitors to your Giving Center will be able to select Donate Auction Items and fill out a brief form with details about the item that they wish to donate. When the prospective donor submits this form, an item with a Procurement Status of "Requested" is automatically created in your myBidPal Planner site and an email notification of the request will be sent to any email addresses on the "Email List for Giving Center Messages" (located on the Setup > Giving Center > General Settings tab). This feature can be a great time saver for you and your procurement team!
