HOW TO SET UP SCOREBOARDS
In Planner, go to Setup > Scoreboard > General Settings.
Set Display Settings: Customize the look of your scoreboards to match the colors of your event.
|1. Background Color||The color that displays behind your scoreboard content|
|2. Content Font Color||The text color of the content data, such as item names & current bid amounts|
|3. Grid Color||The color of the lines separating packages in a list|
|Show Grid checkbox||Uncheck to hide the grid lines|
|4. Title Bar Color||The color of the header bar|
|Show Title Bar checkbox||Uncheck to hide title bar and logos|
|5. Title Font Color||The color of the header bar text|
|6. Background Image||The image you upload will be stretched to fit the screen. Be sure to use an image resolution that is appropriate to the way you'll be displaying your scoreboard. Stretching a small image will cause pixelation.|
Tip! Adding a custom background can add a pop to your scoreboards and help capture your audience's attention:
Set Other Settings: Choose which logos you want to display on your scoreboard and whether or not you want to display the countdown clock.
|Show Organization Logo||Check the box to display your organization’s logo that is uploaded to Planner under Setup > Preferences > Organization.|
|Rotate Sponsor Logos||Check the box to rotate through selected sponsor logos.
|Show Countdown Clock||Check the box to display the countdown timer in the upper left hand corner of all scoreboard slides. It counts down to the end of the silent auction.|
Next, go to Setup > Scoreboard > Slide Selections.
Drag slides from Available Slides to Active Slides to use them in your scoreboard slideshow.
- Available slides can be customized ahead of time but are not currently selected to display.
- Active slides will continuously loop through on your scoreboard screen in the order listed.
Drag active slides up or down in the list to change the slide order. Click the edit link on each slide to edit the options. All slides can have a custom Title Name. Other available options are listed below:
|All Silent Items||Scrolls through all silent auction packages & lists the current bid amount & the bidder # of the current high bidder||Show Proceeds (Silent or Total), Show Last Name (of the current high bidder)|
|Auction Countdown||Counts down to the end of the silent auction||None|
|Custom Text||Enter up to 70 characters of free text, such as “Dinner begins at 7:15pm” or “The Silent Auction ends at 9:00pm.”
Shows the total donations made + the amount you put in under the "Start Amount" field of the Donation Package.
|Show Goal, Show Last Donor Thanked|
|Donation Thermometer||As donations are made, the thermometer rises towards the goal amount at the top. The total shown is the total donations made + the amount you put in under the "Start Amount" field of the Donation Package.
If you have multiple Donation Packages set to show on your scoreboard, this will total them all.
If you hide any donation packages from showing on the scoreboard, this slide's total will ignore those.
|Show Last Donor Thanked|
|Multiple Donation Packages||If there are multiple donation programs, use this slide to show the donations made to each. This slide is also useful for voting in contests. The total shown is the total donations made plus the amount you put in under the "Start Amount" field of the Donation Package.||Show Goal, Show Total Raised, Select Donation Packages|
|Live Auction Items (Manual Advance)||Displays 1 live auction package with photo per slide. Must be manually advanced using the keyboard's right arrow key. Works well when synchronizing with a live auctioneer.||Show Description, Show Value|
|Live Auction Items w/ Photos (Automatic Advance)||Acts as a live auction item gallery, scrolling automatically through all live auction packages, displaying 1 package per slide.||Show Description, Show Value|
|Silent Items w/ No Bids||Scrolls through all silent packages that have not received any bids||Show Proceeds (Silent or Total)|
|Silent Items w/ Photos||Acts as a silent auction item gallery, scrolling through all silent auction packages, displaying 1 package per slide.||Show Description, Show Current Bid, Show Value|
|Silent Proceeds||Shows the total proceeds made in the silent auction (both onsite and online). If you hide any of your Silent Auction packages from the Scoreboard, those proceeds will be excluded from this total.|
|Thank You||Default text is “Thank you for supporting [Org. Name]!” but the text can be customized up to 100 characters.|
|Top 5 Silent Items||Lists the top 5 silent auction items based on current winning bid amount||Show Last Name (of the current high bidder)|
|Total Proceeds||Shows the total proceeds made from the silent auction, fixed price purchases, live auction, donations, and miscellaneous charges. This slide does not include Ticket or Ticket Option proceeds. If you hide any of your packages from the Scoreboard, those proceeds will be excluded from this total.
Tip! To prevent a package from displaying on a slide or from adding to your running totals (ex. Total Donations or Total Silent Proceeds), go to the individual package (Packages > Manage Packages > select package) and uncheck the Show on Scoreboard checkbox.
Lastly, don’t forget to click Save when making changes to your scoreboards. Go back to Setup > Scoreboard > General Settings tab and click the View Your Scoreboard call-out to see how your scoreboard slideshow looks!
FREQUENTLY ASKED QUESTIONSPlease click on links below to jump to answers:
How do I launch my scoreboard?
Your scoreboard can be launched from Planner by clicking on the View Your Scoreboard callout Setup > Scoreboard > General Settings tab. The scoreboard can also be launched from the Go Page using your organization’s event PIN. Once the scoreboard is running, be sure to put the browser in full screen mode (F11 on Windows PCs, Shift+Command+F on Macs).
What equipment is needed to run a scoreboard?
What is the recommended size for the logos?
The logo on the scoreboard is sized 320px by 160px. If you uploaded a larger image, then Planner will automatically resize it. If the logo is not rectangular, it will not be stretched. Instead, the system automatically adds a white background to it for optimal viewing as in the example shown here.
Can I pick which packages display on the scoreboard?
Yes! There is a Show on Scoreboard checkbox on each package’s Package Edit screen. Uncheck the checkbox to exclude the package from displaying on the scoreboards. You can also use the Packages > Manage Packages > Multi-Edit tool to mass update which packages display or don’t display on the scoreboards.
Can I put custom messages on the scoreboard?
Yes! There are 2 standard scoreboard slides that each allow up to 70 characters of custom text. Click edit on the Custom Text slide to enter a message, such as “The Silent Auction ends at 9pm. Bid now!” The Thank You slide lists “Thank you for supporting [Org. Name]!” by default but can also be customized.
Tip! You can update the custom text throughout the event to communicate different announcements to your guests. If you would like additional custom text slides, please contact your Consultant.
